Cancellation Policy

GStars Academy – Birthday Party Policy 1. Purpose This policy outlines the rules and expectations for all participants and guests attending a GStars Academy Birthday Parties. Our aim is to ensure a safe, enjoyable, and inclusive experience for every child. 2. Booking & Payment Parties must be booked in advance through our reception or online booking system. The balance must be paid in full at the time of booking to secure your date. Refunds are not available for non-attendance or last-minute cancellations. Party slots are 1 hour gym activity + 30 minutes in the party room unless otherwise agreed. There are 3 Package options available to purchase. 3. Party Size & Age Parties are suitable for children aged 5+ Maximum number of participants: 20 children, including the birthday child. All participants must be listed in advance on the attendance form provided by GStars Academy. 4. Supervision & Staff Qualified British Gymnastics coaches will lead and supervise all gymnastics activities. Coaches’ instructions must be followed at all times for safety reasons. Parents/guardians of the birthday child are welcome to stay and observe from the designated viewing area. Guest parents are kindly encouraged to drop off and collect children at the scheduled times unless otherwise arranged. We do have a small waiting area for those that need. 5. Clothing & Personal Items Children must wear comfortable, fitted sports clothing (e.g. t-shirt and leggings/shorts). No jeans, dresses, skirts, or belts are allowed. Jewellery must be removed, and long hair tied back securely. Activities are done in bare feet or grip socks, as advised by the coach. GStars Academy cannot accept responsibility for lost or damaged personal items. 6. Safety & Conduct Participants must follow all coach instructions and behave respectfully toward others. Children displaying unsafe or disruptive behaviour may be asked to sit out for part or all of the session. Only the designated gymnastics area and party room may be used. Food and drink are not permitted in the gym area. Please inform us in advance of any medical conditions, allergies, or additional needs. 7. Food & Refreshments Party food may only be consumed in the designated party room. GStars Academy provides: tables/chairs/plates/cups and soft drinks only. Parents are responsible for bringing and supervising all food. No alcohol or glassware.
